Web conferencing center is an internet based service that provides the customers with a web conference capability using the company’s servers.
Customers can reach the service as long as they can reach the internet, and don’t have to worry about setting up servers or synchronizing clients or other departments to their system.
This makes the process most valuable to companies that are not yet big enough to have a dedicated IT team, or that have decided it is not cost effective to have such a department.
This will often require downloading and installing a plug-in for a web browser, Microsoft Outlook or some other program presumed to be on most machines already.
Unlike video conferencing, using a web conference center does not provide video of the presenter, and generally limits the audience to the contents of the desktop or documents such as slideshows. Often, telephone connections are used to provide voice content.
The advantages include not needing to keep a program and hardware up to date and also compatible within the company or with clients. Since the heavy lifting is done by the web conferencing center instead of the clients, anytime there is an update to the software it will simply be there next time you log in, without any need to install on each system.
Disadvantages include the recurring cost to access the system. Typically, this is either per minute, per user charge or occasionally a set fee to cover a number of users per month or year.
If needs grow faster than forecast, this can be a significant expense and care should be taken to determine if there is a minimum cost per month to keep the account active.
